Mail and Preferred Images

Preferred Images and mailroom provide printing, copying, and mailing services for the campus and community.

Preferred Images, which processes over 300,000 impressions a month, provides a wide array of printing and copying services. Color copying, folding, cutting, stapling and laminating are just a few of the services provided. (Please call for current prices on services offered). We also encourage the usage of white paper - which is easier to recycle, more earth friendly and costs less to produce.

The mailroom is housed in the same building and distributes all incoming mail, delivers and picks up intercampus mail, processes outgoing U.S. and international mail, and ships UPS, FedEx and USPS packages. They also receive and process over 100 packages per day for students, faculty, staff and departments on campus.

Customer Hints

  • The request form must be filled out completely. Remember to specify the number of originals and copies needed as well as the department name and time needed.
  • When instructing student secretaries to submit orders to the Copy Center, please let them know when you need the job completed as well as all other pertinent information.
  • When submitting original copies from books remember that we are bound by copyright laws and do not reproduce whole books without written permission.
  • Please number your original in blue or in light pencil if you do not want the numbers to show.
  • Use black pens for signatures.
  • When making originals from computer printers, be sure the ink or toner is dark enough to produce clear, bold copy. Laser prints are preferable. Stick or (crayon) ink prints do not work as origionals.
  • Pencil and blue inks do not copy well.
  • Keep in mind that trees are running out. Help save paper and money by running as many jobs back-to-back as possible. It is also much less expensive!

Mail Forwarding

  • Mail that is not addressed in this way may be sent back by the Post Office.
  • We do not forward any mail or packages at the mailroom.
  • The dorms and departments forward all mail.
  • FedEx and UPS do not forward packages.

Distribution of Incoming Mail

  • Incoming U.S. mail usually arrives at 9:30 a.m. and first class mail is sorted by 11:00 a.m. Inter-campus mail is treated as first class mail and sorted as it comes in.
  • A daily pickup and delivery service for PUC departments handling both U.S. mail and inter-campus mail leaves the office at 10:00 a.m. Monday –Thursday, and 10:30 a.m. Friday. 
  • Mail is delivered back to the Mailroom, metered with postage, and then sorted. Items of value are sent at one's own risk through intercampus mail.
  • Large mailings and packages will NOT be picked up on the mail runs. Please call for pickup.
  • Mail boxes are available for departments or staff who would rather pick up their own mail or do not have an office open to make pick ups and deliveries possible.
  • All fliers, advertisements, memos, etc. should be college-oriented. No personal fliers will be distributed.
  • Handouts for the morning mail run need to be in the Mailroom by 8:30 a.m.

Processing Outgoing Mail

  • Please separate inter-office mail and pre-stamped mail from mail needing postage/metering. Men's and women's residence hall mail should be bundled separately by each residence hall before being sent to the Mailroom.
  • Flaps on envelopes need to be closed or sealed. Overstuffed business envelopes and manila envelopes do not seal well in the machine. If we have to seal them by hand they will be processed last. Large mailings needing hand sealing will be sent back.
  • Make sure that your letters are stuffed below the envelope fold. Large mailings not folded correctly will be sent back.
  • All mail that needs postage other than first class, or mail that needs to be charged to an account that is not yours, should have a yellow request form filled out completely by the department. All mail that does not have the department name in the return address needs a yellow slip. If the yellow request form is not completed or has not been categorized, mail will not be sent. Use one request form, mark all categories needed, and securely band all mail with the request slip on top.
    Note: A request form is not needed for small mailings with the department's name on it that are going out first class/air mail. All other services require a slip.
  • Outgoing mail must be in the office by 2:00 p.m. Monday-Thursday and 12:00 p.m. on Friday. Mail leaves our office, to be taken to the Angwin post office, at 3:00 p.m. Monday –Thursday. Friday mail leaves the office at 12:50 p.m.
  • All mail that needs postage must be sorted with U.S. mail (including Guam and Puerto Rico) separate. Any large mailings that are not sorted will be charged a fee and will be put to the end of the line for processing.

Special Forms

  • "Certified," "Registered," "Return Receipt Request" and "Insurance" forms must be filled out by the department. It is necessary to have all the parts of the form attached, and add the department name in the upper left-hand corner of the return portion, so it can be returned to your department once it has been postmarked.
  • We have a deadline to meet at the Post Office, so we cannot hold up the mail for one department. The more prepared your mail is, the quicker it can be processed.
  • Please notify the mail clerk if your items have dated materials in them. All dated material needs to be submitted with at least 24 hours processing time allowed.

UPS and FedEx Shipping/Receiving

  • Personal package shipping is available via UPS, FedEx and/or USPS.
  • A yellow slip must be filled out with service requested, the department/name and phone number along with the request form on this site.
  • A package must be in our office by 10:00 a.m. in order for it to be shipped the same day. Due to the volume of work during the school year, we cannot absolutely guarantee same-day service, nor do we assume financial liability for delayed, lost, stolen, or damaged packages while in our possession regardless of fault.
  • UPS/FedEx automatically insures the package, when properly packaged, for $100. Additional insurance is available up to $50,000. It is necessary to prove the value of the package to obtain insurance payment.
  • Our computer prints shipping labels, so make sure that the address is legible.
  • We have some recycled boxes and filler available for use.

The following are the stipulations for sending packages:

  • No post office box addresses are allowed for domestic packages.
  • Any packages without a yellow slip will not be sent!

UPS

  • A package's maximum size is 165 inches in length and girth combined, 108 inches maximum length, and 150 pounds maximum weight.
  • The package must be labeled with the destination on top - one label only. Use the street and building number.
  • A phone number is helpful on domestic. It is required internationally.

FedEx

  • A package's maximum size is 165 inches in length and girth combined, 119 inches maximum length, and 150 pounds maximum weight.
  • The package must be labeled with the destination on top - one label only. Use the street and building number.
  • A phone number is helpful on domestic. It is required internationally.

Overnight Services

  • UPS next day. Packages must be at the Mailroom before 1:00 p.m.
  • Fedex. Packages must be in by 12:00 to go out the same day.
  • USPS Express Mail All items go out with the college mail at 3:00 p.m. but may not be there overnight. After 3:00 p.m. we will meter it and you must personally deliver the mail to the post office before 4:30 p.m. Next-day delivery is not guaranteed outside California most of the time. An Express Mail label must be completed for Express Mail; please see the Mailroom personnel for assistance. Mailing labels are available through the Mailroom.
  • USPS International Express. Must be in an Int. Express envelope. These are not the same as domestic. An express mail label must be filled out. Phone number is required. There is a 3-5 day delivery to a country. There are no guarantees and no tracking the package once it enters the addressed country.
  • Do not send packages priority overnight as they will not get here any sooner than standard overnight.

Package Pickup

  • Incoming packages USPS, UPS, FedEx, Airborne, or DHL are delivered to the Mailroom.
  • All student packages are kept at the Mailroom.
  • You must have photo ID to pickup your package.
  • You will not be allowed to pickup a friend's package without written permission or a phone call from the recipient.
  • All other packages will be sent to Newton or Winning.
  • All COD packages must be paid for by check, not cash, before your package arrives.
  • Please do not have packages sent to the PUC Mailroom if you are not affiliated with the college. Your package will be refused and sent back to sender.
  • All packages left more than 90 days after date of receipt will be disposed of.
  • PUC and the PUC Mailroom do not assume any liability for packages sent to us by mistake or otherwise. The college and Mailroom also do not assume any liability for packages received and in our possession, for off-campus students, former students, non-PUC students and any other person who does not work at or attend PUC. PUC and the PUC Mailroom do not take any responsibility and are not held liable for any students, faculty, staff and non-students, who were called, e-mailed or notified in any way that they had a package in the PUC Mailroom – including those who were told they did not have a package (whether in person or by phone), when in actuality they did.
  • All packages sent to Pacific Union College and its address are sent at the shipper's own risk and liability.
  • The PUC mailroom retains the right to refuse any package, at any time, for any reason.
